Directly Reports to: Western Regional Marketing Designer

Purpose:

Modern Luxury, the largest publisher of regional magazines in the country, is actively seeking a Marketing and Event Coordinator to join our Los Angeles team. This position is responsible for event planning and execution, building valuable marketing programs for our advertisers and readers and developing the brand identity of our magazines. This individual will also oversee event opportunities and sales and marketing collateral. The ideal person must be able to manage simultaneous projects and timelines, highly organized, strategic, work independently, and outgoing.

Responsibilities would include:

  • Responsible for coordinating and executing events for Modern Luxury for Los Angeles and additional markets under the direction of the Marketing Director.
    • Develop event ideas and lead execution of events in multiple markets
    • Oversee all event collateral (invitations, signage, Splash RSVP system, recap materials, step & repeat, flower walls, etc)
    • Lead or assist in being the point of contact for event sponsors
    • Manage the Western Region calendar of events
  • Manage all added value requests for Western Modern Luxury publications
  • Attend all in market events
  • On-site execution from packing, shipping pre-event to set up and break down at venue post event as needed
  • Project manage onsite promotional elements at events (i.e. signage such as cover blow ups, step and repeat, etc)
  • Assist sales staff with added value proposals
  • Oversee all sales collateral (sell sheets, recaps)
  • Oversee all in-book promotions including special sections and promotional pages
  • Coordinate and manage all special sections including scheduling photoshoots, working with editors, trafficking materials, and meeting tight deadlines
  • Research and secure new trade vendors (caterers, florists, event designers, lighting, sound, etc.)
  • Assist with coordinating vendors, insurance, contracts, etc.
  • Participate in creating and maintaining necessary planning documents (e.g. event calendar, photographer tracking, and staffing)
  • Ensure Modern Luxury events are activated with consistency and meet brand and event guidelines to maximize experiential excellence
  • Collect and process invoices for any marketing needs (photographers, 3rd party vendors, etc.)
  • Assist with P&L and P&L approval process
  • Handle marketing collateral for local publications (invitations, house ads, e-blasts, program ads, menus, event slideshows, etc.)
  • Assist with collecting and coordinating in-book promotional materials (About Town, Top 5, Not to Be Missed, Invited, house ads)
  • Coordinate all media sponsorship deliverables (trade contracts, delivery of magazines, program ads, online and in-book promotions, post-event coverage, social media)
  • Coordinate national marketing initiatives (aka “Special Advertising Sections”). Responsibilities include coordinating with photographers and editors, connecting with Publishers and sales people from various markets, managing timelines, connecting with clients for approvals on creative
  • Assist with trafficking special sections including scheduling and material organization

Desired Skills & Experience

Ideal candidate will have:

  • A minimum of two years experience in event planning and logistics, preferably at a media company
  • Strong organization skills
  • Ability to multi-task and handle diverse projects, tight timelines, and rigid deadlines
  • A desire to work in a fast-paced, team environment
  • Outgoing, can-do attitude
  • An insatiable desire to create and develop new ideas that add value for our advertisers and readers
  • Able to work independently and proactively
  • MUST live in LOS ANGELES
